Statement of Business Ethics - FAQs
1. Why do I need to respond to this request?
RailCorp is asking all its suppliers to read the revised Statement of Business Ethics and confirm in writing that they agree to comply with its requirements. In addition, suppliers are being asked to confirm in writing that they will ensure that all contractors they engage to perform work for RailCorp are also aware of and are required to comply with the Statement of Business Ethics.
RailCorp requires that its dealings with all suppliers, whether in the public or private sector, are conducted in an ethical manner.
2. Why is RailCorp issuing this Statement of Business Ethics again / now?
The RailCorp Statement of Business Ethics has been recently revised and as such, we need to make sure that all our current suppliers receive the updated version of this key document and seek written acknowledgement that they will comply with the requirement of the Statement of Business Ethics.
3. How is this different from the old Statement of Business Ethics?
The revised Statement of Business Ethics now contains:
- A new introduction from our CEO, Rob Mason;
- A new section on gifts, benefits and hospitality;
- More references to conflicts of interest.
4. I recently signed a contract with RailCorp; do I still have to respond to this request?
Yes, the Statement of Business Ethics has been recently revised and all suppliers are required to acknowledge that they have read and understood this revised document and confirm that they will continue to comply with its requirements.
5. If I am not sure that my company is complying / can comply with the Statement of Business Ethics, who do I contact?

7. I am a current supplier to RailCorp, how can I submit my response?
Please contact the Statement of Business Ethics help desk on 1800 028 354 and one of the team will be able to send you a copy of the relevant documentation if you have not already received it.
Alternatively, please email behelpdesk@railcorp.nsw.gov.au, clearly stating the following information:
- your name
- your company name
- address
- contact telephone number
- fax number
- email address.
8. What do we need to do to comply?
RailCorp is asking all of its suppliers to read the recently revised Statement of Business Ethics and confirm in writing that they agree to comply with its requirements. In addition, suppliers are being asked to confirm in writing that they will ensure that all contractors they engage to perform work for RailCorp are also aware of and are required to comply with the revised Statement of Business Ethics.
Having read the revised Statement of Business Ethics, an appropriately authorised person in your organisation should sign and return the letter of acknowledgement to the fax number shown.
9. How do I access the revised Statement of Business Ethics document?
Visit the Contracts and Procurement web page at www.railcorp.info/commercial/contracts_and_procurement
Click on the
Statement of Business Ethics link to open the document.
The document can then be printed or saved to your computer.
Note: You will need to have Adobe Reader installed on your computer to open the document. If you do not have this then please follow the link to download it for free.
10. The letter of acknowledgement needs to be signed and returned to RailCorp. Who is an appropriately authorised person?
Someone who is authorised to respond on behalf of your company for example, the most senior person in your organisation, such as Chief Executive Officer (CEO) or managing director.

11. What do I need to fax back?
The one-page, signed letter of acknowledgement needs to be returned by fax to 02 8003 2919.
12. What's the deadline for responding?
The deadline for responding is two weeks from the date of the letter you received.
13. I've misplaced the letter of acknowledgement, what should I do?
Please contact the Statement of Business Ethics help desk on 1800 028 354 or email to behelpdesk@railcorp.nsw.gov.au and one of the team will be able to send you a replacement letter of acknowledgement.
14. I've received this fax / email but I am not the CEO or authorised to respond on behalf of my company, what should I do?
As this communication must be reviewed and the letter of acknowledgement signed by the CEO or managing director, or other person authorised to respond on behalf of your company, it should be given to them to respond.
15. I would like copies of the Statement in hard copy for distribution to my staff, where do I obtain copies from?
The Statement of Business Ethics is available in a printer-friendly version from this website.
16. I am having difficulty in opening / saving / printing the Statement of Business Ethics, who do I contact?

17. I would like to speak to someone regarding what I need to do to respond, but I am unable to make calls during normal business hours.

19. Can I respond by mail or email rather than fax?
RailCorp prefers that your letter of acknowledgement is returned by fax to 02 8003 2919.
If you do not have access to a fax machine please contact the Statement of Business Ethics help desk on 1800 028 354 to discuss an alternative method of returning your signed letter of acknowledgement.
20. I have received a reminder letter, but I have already responded. How can I check that you have received my Letter of Acknowledgement?
Your fax machine should confirm that your fax transmission has been successful. If you wish to confirm receipt, please contact the Statement of Business Ethics help desk either by telephone on 1800 028 354 or send an email to behelpdesk@railcorp.nsw.gov.au.
21. I've missed the deadline in the fax, can I still respond?
Yes. Please contact the Statement of Business Ethics help desk on 1800 028 354 at your earliest opportunity for assistance with late responses.
22. I've received this fax in error, what should I do?

25. How will my response be stored? How will my information be protected?
Your response will be stored on a secure server at RailCorp with limited access.
26. How can I ensure that contractors I engage comply?
You could, for instance, provide them with a copy of the Statement of Business Ethics and ask them to sign a declaration that they will comply.
